This wednesday, we will be holding a second planning meeting for our upcoming TechFest. It will be held in the downstairs of the Baden American Legion, 271 State Street, Baden, PA 15005. We hope to see you there!
Minutes from the last meeting are as follows:
Hey everyone! Here’s an outline of everything discussed at our meeting tonight regarding our upcoming TechFest.
Just to do a quick summary of the TechFest. The event will be held at the Baden American Legion on February 14, 2010, from 8AM-2PM. This event will show how technology, Scouting, amateur radio, and geocaching can mesh together, and will hopefully get more people interested in Scouting and amateur radio. We’ll also have some cool tech demos and merit badge info, too. If you didn’t already, check out TechFest.W3SGJ.org for more information. Now, on to the details!
We will need everyone [THE BVARA/EXPLORER POST 73 SCOUTS] to come in Saturday evening to set up tables, move chairs, etc.
I will be looking into whether this will be possible or not. We may have to come in very late in the evening or very early in on the morning of the 14th, depending on whether the Legion is having a Valentine’s Day dance or not.
We will need at least eight Scout/Explorer volunteers:
2 Scouts working the door (selling tickets)
They will be selling two different color tickets. One will be normal admission, the other will be if the attendees are setting up a display table. They will be located right after the bathrooms, before you walk into the main downstairs room of the Legion. We will also need cash boxes or carpenter/waiter aprons for this job. Evan is looking
into this.
2-3 Scouts working a table as soon as you come in
They will be selling 50/50 tickets and collecting the second half of each admission ticket 2 Scouts helping to work the auction table. They will be helping Norm and I work the auction table. We will be distributing copies of the auction rules to attendees that are auctioning equipment; distributing a form for attendees to fill out information about their item(s) and themselves; tagging equipment (one card on each item). We will also need to remind attendees that we will only accept cash. No credit cards or checks will be allowed.
2 Scouts to help guide attendees
If someone is looking for something, these Scouts will be helping them.
The kitchen will be up and running during our event. We will be selling coffee and pop throughout the day, donuts in the morning and some kind of sandwich during the afternoon. Pam will be in charge of running the kitchen.
A check in station will be active on the W3SGJ repeater (145.310) from around 8AM – 11AM during the event. Mr. Finkelstein will be Net Control for the station, which means he will be the one talking on the repeater and answering whatever questions some may have on the radio.
Officer Spencer will be our official “Crisis Person.” ![]()
If you have a problem, he’s the one you need to talk to.
We will be establishing two geocaches. From these, we will launch our two Travel Bugs. One, which is going to Connecticut (Amateur Radio Relay League headquarters) and the other, which is going to Texas (Boy Scouts of America headquarters)
For the geocaches, we will have a PDF certificate to download on our website (www.W3SGJ.org) once you find the cache. It will not be possible to download otherwise, because the only way you will know the web address will be to see the address in the cache.
We will have multiple people setting up displays at our event.
If there’s anything I missed, feel free to reply to everyone.
Cheers!
